Waybook review: SOPs, tests and plans for small teams

Last reviewed October 17, 2026

Quick answerWaybook fits a team of 20 to a few hundred that wants SOPs, tests and onboarding paths in one tool. Below 20 people you still pay for 20 members on Core or Pro, so a team of 10 spends less on SweetProcess.

Waybook review: who it fits and what it costs

Waybook fits a company of about 20 to a few hundred people that wants its SOPs, tests and onboarding paths in one tool. It is a weaker fit below 20 people, because its pricing counter will not go below 20 members. A member is anyone with a login, readers included.

Core is $119 a month billed monthly or $99 a month billed annually, with 20 members included and $6 or $5 a month for each extra member. Pro is $238 billed monthly or $198 billed annually, with $12 or $10 for each extra member. Those are the figures on Waybook's pricing page as read on October 17, 2026, and Waybook pricing shows what 25 and 50 members cost.

What Waybook does: SOPs, tests and learning paths

Waybook organizes content as Subjects (teams or areas of the business), Documents (one activity each) and Steps (the stages of an activity). All three are unlimited on every plan, as is the AI Content Writer. The Terms require you to review AI output before you publish it to your team.

Tests are steps inside a Document, with eight question types. Five types grade themselves, while long text answers and file uploads wait for a person to grade them. A Learning Path puts Documents and Tasks, such as booking a meeting or setting up a tool, in order for a role, with fixed due dates, and reports show who has completed what.

Reports break progress down by member, group, Document or test, and they export as CSV, PDF or XLS. The AI can also suggest test questions from a Document, which you review, edit or remove. The mobile app runs on iOS and Android.

Waybook AI Ask answers questions from your published Documents, and Ask has monthly credits (amount not published). A completed path and a passed test record what someone clicked and scored. They are not proof that the person can do the job.

What Waybook Pro adds: review dates, approvals and confirmation

Pro adds Document Verification with Review Dates, an Approval Process, Knowledge Confirmation Steps, Full Version History, an Audit Log and Scheduled Reports. A reviewer assigned in Document Verification re-checks a Document by its review date, and any edit cancels the verification until the reviewer approves again. A Knowledge Confirmation Step asks a member to confirm they have read and understood a Document, and Waybook records the time, date and user name.

An operations manager at a 40-person agency is moving 60 SOPs out of Google Docs and wants to see who has read and confirmed each update. Waybook's Google Docs integration page describes importing existing Google Docs content. Core's completion tracking shows who has finished a Document, but the record of who confirmed, and when, belongs to Pro. Every member past 20 adds $10 a month on Pro billed annually, or $12 billed monthly.

Waybook says every plan includes support, but lists Enhanced Support for Pro and Dedicated Support for Enterprise, so ask what a Core plan includes before you buy.

Waybook free trial, refunds and cancellation

Waybook offers a 7-day free trial, but its pages do not say whether a card is needed or which plan it runs on. A cancellation takes effect at the end of the current billing period, and Waybook's FAQ offers to "pause your subscription and save your data for just $20/month".

Waybook's Terms of Service say it gives no refunds unless the law requires one, while an older help-center article describes a 30-day refund window, so plan on no refund and treat the 7-day free trial as your test.

Waybook limits, and who should pick SweetProcess or Trainual

The documented limits: Core and Pro start at 20 members, there is no free plan, and the Core Glossary stops at 5 terms. Waybook documents no SCORM import or export, and its mobile-app pages say nothing about offline use.

Pick SweetProcess for a team of up to 10 members. Its one plan includes every feature and costs $99 a month billed monthly, against $119 for Waybook Core on the same basis. Billed yearly, SweetProcess is $82.50 against $99. It also gives a 30-day money-back guarantee, which Waybook's Terms do not.

Pick Trainual if you want content verification reminders on its Core plan, where Waybook's review dates need Pro, or completion certificates, which Trainual's help center puts on every plan and Waybook's pages do not describe. Trainual publishes no plan price and sells through a demo. Waybook vs Trainual sets the two side by side, and Waybook alternatives adds Whale, Scribe, Connecteam and Process Street.
