SweetProcess alternatives: five tools and when each fits better
SweetProcess is one plan with every feature: $99 a month billed monthly or $82.50 billed yearly for up to 10 members, then $5 or $4.17 a month per extra member, as read on October 17, 2026. It says teams of fewer than 10 employees can ask for exclusive pricing and shows no figure.
The alternatives for a team past 10 are Waybook, Trainual, Process Street, Whale and Connecteam. Waybook Core is $119 a month billed monthly or $99 billed annually, with 20 members included.
| Tool | Price and basis | Approvals and history | Fits |
|---|---|---|---|
| Waybook | Core: $119 a month billed monthly, $99 billed annually, 20 members | Approvals and Full Version History on Pro | Teams of 20 or more |
| Trainual | No public price; $1,000 one-time implementation fee | Version history 30 days on Core, 90 on Pro | 25 to 1,000 employees |

Start a 7-day Waybook trial →Waybook: 20 members in the base price
Waybook's base price covers 20 members, where SweetProcess's covers 10, and Waybook counts readers as members. The two bills therefore cross somewhere between 10 and 20 members.
These figures are computed from each per-member rate. At 10 members SweetProcess is $99 a month billed monthly or $82.50 billed yearly, against Core's $119 or $99 for its full block. At 20 members SweetProcess is $149 or $124.20, against Core's $119 or $99.
At 50 members the two are nearly level: SweetProcess is $299 or $249.30, and Core is $299 or $249. The like-for-like for approvals is Pro, because Core has none. Pro is $238 a month billed monthly or $198 billed annually for 20 members, above SweetProcess's every-feature price at that size. SweetProcess documents its own review reminders, sign-offs, draft approvals and version list on its one plan.
Pro adds Approval Process, Full Version History, Knowledge Confirmation Steps, where a member confirms they have read a Document, and Document Verification with Review Dates, where an assigned reviewer re-checks a Document by a set date. Free migration help is a Pro extra with conditions; Waybook pricing gives them and the extra-member rates.
Trainual and Process Street: priced by sales
Trainual shows no plan price: Core, Pro, Premium and Enterprise each say Get a demo, with a one-time $1,000 implementation fee. Its version history runs 30 days on Core, 90 on Pro and without limit on Premium, and an account can be put on hold for up to three months. Trainual alternatives lists five tools that show a price.
Process Street's Startup, Pro and Enterprise plans each say Contact sales, its Startup plan has 5 users, and its Pro plan starts with a 14-day trial with no credit card. Its approvals help article covers tasks inside a workflow run, not approval of a drafted document. Process Street alternatives compares five tools.
Whale and Connecteam: creators or a hub
Whale prices by creator, the person who builds content. Scale is $399 a month billed monthly or $249 billed yearly with 3 creators; approval flows are Enterprise only, and Scale keeps 90 days of version history.
Connecteam sells its app in hubs, each priced separately. Its HR & Skills hub lists a document review process and expiration dates on Expert, which adds $3 a month per user past 30 on yearly billing. Connecteam also offers a free plan for small teams and a 14-day trial with no credit card.
When to stay with SweetProcess and when to move
Stay with SweetProcess for a team of 10 or fewer, because its base price covers 10 members with every feature. Its 14-day trial asks for no credit card and can be canceled before or after, and it gives a 30-day money-back guarantee. Waybook's free trial is 7 days, and its Terms give no refund unless the law requires one.
SweetProcess quizzes allow a single correct answer per question, where Waybook lists eight question types. Migration to SweetProcess is a paid service, and a Word import tool is self-serve.
Move to Waybook Core when 20 or more people need tests, Learning Paths and completion tracking and approvals are not required. Move to Waybook Pro only when Learning Paths or eight question types matter as well, since SweetProcess's one plan already documents review reminders, draft approvals and sign-offs. Move to Trainual only when a demo and a $1,000 implementation fee are acceptable.
