SOP training software: six tools and their entry prices

SOP training software does one of three jobs: it stores procedures and tests people on them (SweetProcess, Waybook, Trainual), it captures a process as a step-by-step guide (Scribe, Tango), or it turns a procedure you already have into a short lesson with questions (Mini Course Generator). Five of the six publish prices; Trainual sells through a demo.

Extra members cost $5 a month on SweetProcess monthly billing and $6 on Waybook Core monthly billing. Scribe Pro Team is $17 per seat monthly from 5 seats, and Tango drops to $20 per user monthly for 3 or more users.

What each tool is built for, and one limit

  • SweetProcess documents procedures, processes and policies, assigns them as tasks and lists quizzes among its features. Limit: the published price covers up to 10 members, and each extra member adds to the bill.
  • Waybook includes unlimited documents and steps, tests and assessments, and progress and completion tracking on every plan. Limit: the trial is 7 days, short for testing with real staff.
  • Trainual combines SOP documentation, training paths, testing and reporting, with more than 500 templates. Limit: no public price, no self-serve trial, and its page states a one-time $1,000 implementation fee. The vendor says it is best suited to companies of 25 to 1,000 employees.
  • Scribe generates how-to guides and, on Pro, exports them to PDF, HTML and Markdown. Limit: its pricing page lists no quizzes or tests, so it documents a process without checking understanding.
  • Tango captures workflows in the browser and, on Pro, on the desktop, with viewer insights. Limit: the Free plan shares five workflows, and the plan cards list no quizzes.
  • Mini Course Generator drafts a lesson from a PDF of up to 100 pages and adds quiz pages and a completion report. Limit: it is not a place to write, version and approve the SOP itself.

Where Mini Course Generator fits and where it does not

Mini Course Generator fits after the procedure exists. You upload the SOP, generate short pages, add scenario questions, and share a link that staff can open on a phone. Plus allows 500 learners a year and unlimited courses, so a team of 40 with a dozen procedures is well inside the limits. It does not fit as the system of record. The pricing page lists no approval workflow, version history for procedures or e-signatures. If you need those, keep the SOP in SweetProcess, Waybook or Trainual and decide whether their built-in tests are enough.

Which SOP training tool to choose by team type

  • Your procedures are not written yet and the team has 10 people or fewer: SweetProcess at $99 a month covers everyone.
  • Around 20 people who need SOPs, tests and completion tracking in one place: Waybook Core.
  • A company of 25 or more that wants guided setup and has budget for it: ask Trainual for a quote.
  • Procedures are mostly clicks in software: Scribe or Tango, both with free tiers.
  • Procedures are written and approved, and the gap is that people do not practice them: Mini Course Generator Plus.
  • You only need people to read and acknowledge a document: you may not need training software at all. See document or mini course.

Products I could not price

Two names that come up for this job are missing from the table. Whale's pricing page did not load for this review. Process Street's pricing page lists Startup, Pro and Enterprise plans but directs every plan to its sales contact, with no figures. Trainual is in the table without a price for the same reason.
