SOP training is the instruction and practice that gets people to carry out a standard operating procedure, a written set of steps for a recurring task, correctly and the same way each time. It is separate from the SOP itself. The SOP is the reference document. The training is what makes someone able to do the task without rereading it, and it leaves a record that they were trained.

In practice it has three parts: a short explanation of the steps and why they matter, practice on the decisions where people go wrong, and a check by someone who knows the job. The first two can be a short online lesson. The third happens at the workplace.

How SOP training works, step by step

  1. Confirm the SOP is current. Train from the approved version, and note its date or version number in the lesson.
  2. Pick the outcome. Decide what a trained person must be able to do, and which steps carry the most risk.
  3. Build a short lesson. Group the steps into pages, each with one action and its reason. A lesson brief keeps this focused.
  4. Add decision questions. Write scenario questions for the points where the procedure branches or where errors are costly.
  5. Assign it. Send the lesson to the people who do the task, with a deadline.
  6. Check the record. See who finished and which questions were missed.
  7. Observe the task. A supervisor watches each person do it once and signs off.
  8. Retrain on change. When the SOP changes, update the lesson and reassign it.

Mistakes to avoid in SOP training

  • Counting a finished lesson as competence. The report shows which pages were completed and how questions were answered. It does not show the task done correctly at the counter. See completion is not competence.
  • Training from a draft or outdated SOP. The lesson then teaches the wrong steps with confidence.
  • Letting an AI draft go out unchecked. If the tool wrote the pages from your PDF, the procedure owner still has to compare each page with the source.
  • Testing trivia. Quiz questions should test the decisions that matter, not the wording of the document.
  • Skipping the observed sign-off because the online record looks complete.
