A training SOP example in two parts: procedure, then lesson

Here is a complete training SOP example: first the written procedure, then the short training built from it. The business is a placeholder, [your business], and every bracketed value is one you set yourself. I wrote the procedure as an illustration of the format. It is not legal or accounting advice, and your own refund rules replace mine.

The pattern is the point. The procedure says what to do. The lesson turns the risky decisions into practice questions. The terms are explained in what SOP training is.

The procedure: counter refunds at [your business]

Purpose: refund customers consistently and keep a record of every refund. Applies to: all counter staff. Owner: [store manager]. Version: [version and date].

  1. Greet the customer and ask for the receipt or order number.
  2. Check the purchase date. Refunds are allowed within [refund window] days.
  3. Inspect the item. It must be complete and match the receipt.
  4. If the date and item checks pass and the amount is [refund limit] or less, continue. If not, go to step 6.
  5. Refund to the original payment method. Never refund a card purchase in cash.
  6. For amounts above [refund limit], a missing receipt, a failed item check, or a purchase outside the window, call the [duty manager] to decide. Do not promise an outcome first.
  7. Enter the refund in the [refund log]: date, receipt number, amount, reason and your initials.
  8. Place the item in [returns shelf] if it can be resold, or [damaged bin] if not.
  9. Give the customer the refund receipt and thank them.

Records: the [refund log] is reviewed by the [store manager] each week.

After an opening page, seven information pages carry the nine steps, two scenario pages practice the branch at step 4, and the last two pages test and close. Twelve pages sits inside the 15 to 20 page ceiling that the Mini Course Generator help center suggests for holding attention.

The five quiz questions, with answers

  1. A customer paid by card and asks for cash back. What do you do? Answer: refund to the card.
  2. The receipt is missing. What is your next step? Answer: call the duty manager before promising anything.
  3. Which of these is not recorded in the refund log: date, receipt number, customer phone number, amount? Answer: customer phone number.
  4. The item is returned with a part missing. Can you refund it at the counter? Answer: no, the item check has failed, so it goes to the duty manager.
  5. The refund is within the window, the item is complete and the amount is under the limit. Who approves it? Answer: you do, by following step 5 and then steps 7 to 9.

Each question tests a decision from the procedure, not the wording of the document. Passing the quiz is still only the first check. The supervisor's observed refund is the second, for the reasons in completion is not competence.

Mistakes to avoid when you adapt this example

  • Leaving a bracket unfilled. A lesson that says "[refund limit]" teaches nothing. Fill every placeholder in the SOP first, then build the lesson from it.
  • Letting the lesson and the SOP drift apart. Put the SOP version on page 1 and update both together.
  • Adding steps in the lesson that are not in the SOP. If an AI draft introduces a rule, remove it or get the procedure changed first.
